General Information

  1. Blackout policy

    ESGO kindly requests that all congress supporters (sponsors, exhibitors, special interest groups, and other stakeholders) respect the ESGO blackout policy and refrain from holding organised meetings or events for more than 8 people parallel with the scientific sessions.

  2. Certificate of participation

    A Certificate of Attendance will be provided to all delegates after the event.

    A Certificate with CME credits will be provided upon filling out a survey.

    A Certificate of Active Participation will be provided to presenting authors only.

  3. Childcare

    ESGO fully supports working parents and will offer an onsite daycare service at the congress venue. Please indicate the dates and desired hours of childminding in the registration form. You will be further asked to inform us about the age of your child, languages spoken (if any), special requests, sleep routine, dietary preferences and restrictions, allergies, and medical conditions.

    Experienced and certified babysitters will look after your beloved child, in a separate room for children with toys, games, and other equipment, including a changing table.
    During the day, a drinking regime will be followed. Please provide your child with a bottle and some snacks. The number of children is limited, and the age range is 1–12 years.

    Furthermore, parents are advised that the childcare service does not include accident or third-party liability insurance, so we recommend that parents obtain travel insurance for their children for the duration of their stay.

  4. Climate

    The average temperature in London in February is expected to be around 5-10°C (40-50 °F).

  5. Congress abstracts & embargo policy

    All accepted abstracts (incl. late-breaking abstracts) will be published in the online supplement of the International Journal of Gynecological Cancer as well as in the online congress programme. Full texts of regular abstracts will be published 10 days prior to the congress (February 15) and LBA will be published on the first day of the congress (February 25).

  8. Currency

    In the United Kingdom, the currency is the GBP pound sterling (£). Foreign currencies can be exchanged for GBP at banks, travel agencies and Post Offices, as well as at London’s airports and major train stations. 

  9. Dress code

    Clothing for the ESGO Congress is informal for all occasions.

  10. Electricity

    UK appliances are fitted with a three-pin plug. Wall sockets have a switch controlling power supply. If your country uses lower voltage than the UK average of 230V, you may also need a converter.

     

  11. Exhibition

    The exhibition area will be located in ICC Capital Hall on level 0 and will be open as follows:

    • Thursday, Feb 25 – 10:00-20:00
    • Friday, Feb 26 – 10:00-17:30
    • Saturday, Feb 27 – 10:00-17:00
  12. Guest attendance policy

    All event activities (including educational sessions, meal functions, exhibition etc.) are exclusively reserved for registered attendees. Non-registered guests (including children, family members, colleagues etc.) are not allowed in any of the event areas (except for pre-registered daycare service). Badges provided at the registration desk are required for entrance into all functions and will be strictly enforced.

  13. Language

    The official language of the congress is English.

  14. Liability & insurance

    The congress organisers cannot accept liability for personal injuries sustained, or for loss or damage of property belonging to conference participants, either during, or as a result of the meeting. Participants are advised to take out their own personal travel and health insurance for their trip.

  15. Photography & recording privileges

    Congress content is the copyright of ESGO. However, non-flash photography using personal devices and for strictly personal, social or non-commercial use is permitted if not disruptive to the speaker and/or other session attendees. Professional or promotional video or audio recording during the congress is not permitted.

    During the congress photographs will be taken. This serves the purpose of publication on the website and/or on social media platforms of the organiser. It may hereby be possible that persons present are also photographed in a way that they can be identified. The legal basis for photographing is Article 6 (1)(f) of the GDPR: the organiser‘s legitimate interest is to publicly document the event.

    This is explicitly stated at each event. If required, you can obtain information at the registration desk in the event you do not wish that photographs in which you are identifiable are published.

  16. Recorded sessions

    The scientific programme in three main halls will be recorded and available on ESGO eAcademy for all congress participants until June 14, 2027.

  17. Registration desk

    The registration desk will be located on level 0 of the ICC at Excel and will be open as follows:

  18. Scanning of your badge

    Participants are not obliged to allow exhibitors to scan their badge in the exhibition area or when entering an industry symposium. Participants must show their badge for prove of access rights, but do not need to allow a company to scan it. With allowing a company to scan, you acknowledge that your registration details will be forwarded to the exhibitor.

  19. Sustainable congress

    ESGO deeply cares about the environment, and therefore assessing the sustainability of all activities at our congresses to reduce our environmental footprint. For this reason, the majority of materials are purely digital. You will be able to download the Final Programme and the supplement of the International Journal of Gynecological Cancer from the congress website to reduce paper waste. We strongly recommend downloading the congress mobile app where you will also find the up-to-date programme, abstracts, ePosters, networking events and other useful information. We also have a commitment to source food locally and donate any leftovers, and reduce plastic supporting material at the congress. We will supply you with a water bottle made of sugarcane and you are kindly requested to keep it throughout the congress and refill it.

  20. Time zone

    The United Kingdom uses Greenwich Mean Time (GMT) UTC+00:00 between October and March.

  21. Visa requirements

    As of April 2025, all international visitors travelling to the UK (except British and Irish citizens) need to apply for an Electronic Travel Authorisation (ETA) or a visa, before travelling to the UK, and travel with a valid passport.

    Visitors to the UK need to apply online for an Electronic Travel Authorisation (ETA) for short stays, including EU, EEA and Swiss citizens. It costs £20 to apply at GOV.UK website. A confirmation is received within 3 working days. The ETA is linked to your passport and lasts 2 years or to the expiry of your passport, whatever comes first.

    Visitors from non-European countries may require a visa to visit the UK. To find out whether you need a visa and how to apply, see the UK Visas and Immigration website or check with your local British Embassy or other diplomatic representative before you travel. 

    Attendees are solely responsible for arranging their own visa or ETA requirements for entry into the UK. If you require a visa or ETA, please ensure you allow ample time for the application process, including obtaining any necessary documentation as the process can take up to 20 working days. We strongly recommend contacting your nearest UK embassy or consulate as early as possible to determine the specific timing and requirements for your application.

    The organisers will be pleased to send a letter of invitation to any individual requesting one, once their registration and fee have been received. It is to be understood that such an invitation is intended to help potential participants obtaining a visa. It is not a commitment on the part of the congress organisers to provide any financial support. You may request such a letter during the online registration process.
