Congress Abstracts & Embargo Policy
All accepted abstracts (incl. Late breaking abstracts) will be published in the online supplement of the International Journal of Gynecological Cancer as well as in the online congress programme. Full texts of regular abstracts will be published 10 days prior to the congress (February 10) and LBA will be published on the first day of the congress (February 20).

Blackout Policy
ESGO kindly requests that all congress supporters (sponsors, exhibitors, special interest groups, and other stakeholders) respect the ESGO blackout policy and refrain from holding organised meetings or events for more than 8 people parallel with the scientific sessions.

Certificate of Participation
A Certificate of attendance will be provided to all delegates upon filling out a survey.

Childcare
ESGO fully supports working parents and will offer an onsite daycare service at the congress venue. Please indicate the dates and desired hours of childminding in the registration form. You will be further asked to inform us about the age of your child, languages spoken (if any), special requests, sleep routine, dietary preferences and restrictions, allergies, and medical conditions.
Experienced and certified babysitters will look after your beloved child, in a separate room for children with toys, games, and other equipment, as a changing table.
During the day, a drinking regime will be followed. Please provide your child with a bottle and some snacks. The number of children is limited, and the age range is 1–12 years.Furthermore, parents are advised that the childcare service does not include accident or third-party liability insurance, so we recommend that parents obtain travel insurance for their children for the duration of their stay.

Clothing for ESGO congress is informal for all occasions.

The exhibition area will be located on the first floor of La Nuvola (Forum) and will be open as follows:

Guest Attendance Policy
All event activities (including educational sessions, meal functions, exhibition etc.) are exclusively reserved for registered attendees. Non-registered guests (including children, family members, colleagues etc.) are not allowed in any of the event areas (except for pre-registered daycare service). Badges provided at the registration desk are required for entrance into all functions and will be strictly enforced.

Language
The official language of the congress is English.

Liability & Insurance
The congress organisers cannot accept liability for personal injuries sustained, or for loss or damage of property belonging to conference participants, either during, or as a result of the meeting. Participants are advised to take out their own personal travel and health insurance for their trip.

Photography & Recording Privileges
Congress content is the copyright of ESGO, however, non-fl ash photography using personal devices and for strictly personal, social or non-commercial use, is permitted if not disruptive to the speaker and/or other session attendees. Video or audio recording in scientific sessions is not permitted unless authorized by ESGO.
During the congress photographs will be taken. This serves the purpose of publication on the website and/or on social media platforms of the organizer. It may hereby be possible that persons present are also photographed in a way that they can be identified. The legal basis for photographing is Article 6, Paragraph 1, lit. f GDPR, the organizer‘s legitimate interest is to publicly document the event.
This is explicitly stated at each event. If required, you can obtain information at the registration desk of the event if you do not wish that photographs on which you are identifiable will be published.

Recorded Sessions
The scientific programme in three main halls will be recorded and available on ESGO eAcademy for all congress participants until May 31, 2025.

Scanning of Your Badge
Participants are not obliged to allow exhibitors to scan their badge in the exhibition area or when entering an industry symposium. Participants must show their badge for prove of access rights, but do not need to allow a company to scan it. With allowing a company to scan, you acknowledge that your registration details will be forwarded to the exhibitor.

Sustainable Congress
ESGO deeply cares about the environment, and therefore is assessing the sustainability of all activities at the congress to reduce the environmental footprint. For that reason majority of materials are purely digital. You will be able to download the Final programme and the supplement of International Journal of Gynaecological Oncology from the congress website to reduce paper waste. We strongly recommend downloading the congress mobile app where you will also find the up-to-date programme, abstracts, ePosters, networking events and other useful information. We also have a commitment to source food locally and donate any leftovers, and reduce plastic supporting material at the congress. We will supply you with a water bottle made of sugarcane and you are kindly requested to keep it throughout the congress and refill it.

Visa Requirements
Some of ESGO 2025 participants may require visas in order to enter Schengen Zone. Information and e-visa application can be found at https://vistoperitalia.esteri.it/home/en
The organisers will be pleased to send a letter of invitation to any individual requesting one, once their registration and fee have been received. It is to be understood that such an invitation is intended to help potential participants obtaining a visa. It is not a commitment on the part of the congress organisers to provide any financial support. You may request such a letter during the online registration process.
