Instructions for Presenting Authors

PAPER POSTERS

General Instructions

  • The Poster Area will be located on the ground floor of Bella Centre in the Exhibition hall (D5).
  • Posters will be organised according to the topics and poster numbers.
  • The poster boards will be labelled with specific poster numbers according to the programme.
  • Posters must be prepared in PORTRAIT style (please DO NOT prepare a landscape poster). The recommended dimensions are 120 cm high by 85 cm wide (A0 format). Do NOT exceed the overall dimensions 200 cm high and 95 cm wide, it is recommended to leave at least 1 cm on each side.
  • Posters should be attached to the boards with stickers, which will be supplied by the organisers.
  • Posters made of paper are recommended.
  • Paper poster authors are obliged to prepare and submit also the ePoster. Only the presenting author is eligible to upload the ePoster.

Paper Poster Timelines

  • Authors are invited to put up their posters on Thursday, February 26, 2026, from 12:00 onwards.
  • Posters will be displayed throughout the congress.
  • The Poster Walks session is scheduled for Friday, February 27, 2026, from 17:20 to 18:20.
  • All presenting authors are expected to be present at their posters during this time to answer questions.
  • We kindly ask presenters to remove their posters before 20:00 on Saturday, February 28, 2026. Posters that remain after this time will be removed and discarded.

Poster Walks

  • Selected posters will be invited to join the new Poster Walks session to be held on Friday, February 27, 2026 between 17:20-17:50.
  • The walks will be moderated and commented on by discussants on selected paper posters.
  • The presenting author must be present and answer questions from the discussant and the audience.
  • All other paper posters will be for poster viewing only, and no official time for discussion is given to these authors. However, we would like to ask all authors to stand by their poster(s) during the Poster Walks session to potentially answer the questions from the participants.

 

  • There will also be one ePoster presentation in the Cinema Viewing Area between 17:50-18:20. 
  • The authors of selected commented ePosters are kindly asked to prepare 1 powerpoint slide with key messages which will be presented and discussed during the session.

 

Best Poster Award

During the Poster Walks, please use the Congress mobile app to rate the posters you find most engaging. Posters can be rated on a scale of 1 to 5 stars, with 5 being the highest score.

The author of the highest-scoring poster will be acknowledged and presented with a certificate during the Closing Ceremony on Saturday, 28 February, from 18:50 to 19:20.

Paper Printing Service

If you are interested in printing your poster in Copenhagen, please contact Vesterkopi, located in the city centre (15 min ride by metro from the venue).

Please note that you will need to pick up your poster yourself, as they do not provide automatic delivery to the venue.

ePOSTERS

Instructions for the preparation of your ePoster

  • PPTX file saved as a PDF file - portrait format
  • Not password-protected.
  • One (1) Slide only.
  • ESGO encourages you to use the ePoster template.
  • The use of templates is not mandatory, and presenters are free to submit their own designs and color schemes.
  • Please bear in mind to keep the format ratio of your ePoster as a PORTRAIT style.

Instructions for the submission of your ePoster

  • The ePoster submission system will be available from January 16, 2026.
  • Please use the link HERE and login under your account with your email address to submit your ePoster.
  • Deadline for ePoster submission: February 14, 2026 (23:59 CET).
  • Only the presenting author is eligible to upload the ePoster.

Please note that ePosters will be displayed on special terminals during the whole congress.

However, they will not be presented at a specific session, except for a few selected for the Poster Walks on Friday, February 27, 2026 from 17:50-18:20.

In addition, all ePosters will be available via the ESGO mobile app and online programme.

VIDEO CINEMA VIEWING

Overview

  • Video abstracts which were not included in the video sessions will be shown/played in a loop on an LCD screen at the Cinema Viewing Area in the Exhibition hall during coffee and lunch breaks.
  • If not indicated by the author differently through the notification site, we will use the video submitted with the abstract during abstract submission process.

Instructions

  • In case you would like to submit an updated 5 min video file, please use the link HERE and login under your account with your email address /submission available after January 16, 2026/.
  • The video file shall be up to 5 mins long and maximum size of 500 MB.
  • The type of the video format should be MP4.

Timelines

  • Deadline for final video submission: February 14, 2026 (23:59 CEST)
